SketchMind ("we", "us", "our") operates the AI tutoring platform at sketchmind.ai. This policy explains how we collect, use, and protect your personal information.

2.Information we collect
Account information
SketchMind is passwordless. When you sign up with Google we collect your Google account email and display name. We also store the name you choose to write on your notebooks.
Usage data
We collect data about how you interact with SketchMind: questions asked, sessions created, features used, and saved board states (your notebooks). This data provides your lesson history and helps us improve the product.
Study material you add
If you add a PDF, photographed page, pasted note or YouTube link for a lesson, we store the material, a private extracted-text copy, and location information such as page numbers or timestamps so Lumi can teach from it and show citations. Do not add material you do not have the right to use, or material you do not want processed by our storage and AI providers.
Uploaded files are kept in a private Cloudflare R2 bucket with no public address. Google Gemini extracts files and video links; relevant excerpts may then be sent to the AI provider generating your source-backed lesson, as listed below. The material is not used for advertising.
Voice input
If you choose to answer or ask a question by speaking, the recording is sent to a speech-to-text provider to be turned into text. You always see the text before it is sent to Lumi, and you can edit it or discard it. Typing is always available instead — nothing requires you to use the microphone. The microphone is only switched on after you tap the record button, and it is switched off again as soon as you stop.
We do not keep the recording once it has been transcribed. If we ever turn on short-term retention of recordings to investigate a quality problem, we will say so here first, keep them for no longer than 30 days, and delete them after that. The text you send is kept as an ordinary part of your lesson history, like anything you type.
Payment information
Billing is handled by Razorpay. We do not store your full card or UPI details. We receive confirmation of successful payment, your plan tier, and your usage balance, and we log grants and consumption in an append-only ledger for billing support.
Automatically collected data
We collect standard server logs (IP address, browser type, pages visited, timestamps) and, only with your consent, anonymous analytics to understand traffic patterns.
3.How we use your information
- To provide and operate SketchMind
- To authenticate you and maintain your account
- To process payments and manage subscriptions
- To respond to support requests
- To improve product features and fix bugs using aggregated analytics
- To send transactional messages (receipts and one-time sign-in codes)
We do not sell your personal data. We do not use your data for advertising profiling.
4.Third-party services
We use the following providers who may process your data:
- Firebase (Google) — authentication, session management, and delivery of one-time sign-in codes by SMS
- Anthropic, OpenAI and Google Gemini — AI lesson generation
- Sarvam — text-to-speech voice narration (session text is sent for synthesis), and speech-to-text for voice input
- smallest.ai — speech-to-text for voice input (your recording is sent to be turned into text)
- OpenAI — speech-to-text for voice input, in addition to lesson generation above
- Cloudflare R2 and Amazon Web Services — private storage of learner-added study material, storage of generated figures, and content delivery
- Razorpay — subscription payments
- Google Analytics (Google) — optional, consent-gated aggregate usage analytics; loaded only if you accept analytics cookies
Each provider operates under its own privacy policy. We select providers that meet industry-standard data protection requirements.
5.Data retention
Voice recordings are not retained: a recording is turned into text and discarded. We retain your account data for as long as your account is active. Saved board states are retained to provide your lesson history.
Removing an unlinked study source removes it from your library, deletes its extracted chunks, and stops SketchMind from issuing new viewing links. The original PDF or image object is currently retained in our private R2 storage until an automated storage-lifecycle deletion policy is introduced. It is not publicly addressable, but this means the in-product Remove action is not a physical-erasure request.
You may request deletion of your account and associated data at any time by contacting support@sketchmind.ai. We will confirm the scope and status of the request; where law requires erasure, we will explain any restricted retention that still applies.
6.Your rights
Depending on your jurisdiction you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data
- Port your data to another service
To exercise any of these rights, email support@sketchmind.ai. We will respond within 30 days.
7.Cookies
We use cookies for authenticated sign-in handoff and, only if you allow them, a small number of Google Analytics cookies to understand aggregate usage. We do not use third-party advertising cookies.
8.Security
We use HTTPS across all services, encrypt sensitive data at rest, and follow industry-standard access control practices. No system is perfectly secure; in the event of a breach affecting your personal data we will notify you as required by applicable law.
9.Children under 13
SketchMind is not directed at children under 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected such data, contact us at support@sketchmind.ai and we will delete it promptly.
10.Changes to this policy
We may update this policy from time to time. We will notify you of material changes by a notice on the site or a message to your account. Continued use of SketchMind after changes take effect constitutes acceptance of the updated policy.
